✈️ Travelling in a Group to Heathrow? Here's What You NEED to Know About Meeting Your Coach!

❓ 1. Where Do You Meet Your Coach at Heathrow?
After collecting your luggage, head outside your terminal to the designated coach pick-up bays (e.g. Central Bus Station for Terminals 2 & 3, or Coach Bays 9–15 for Terminal 5).

✔️ Tip: Look for the coach marshal in a high-vis jacket. Tell them your flight number and company name — they'll contact West Ramp Coach Park to release your coach.

❓ 2. Does the Coach Need to Be Pre-Booked at the Airport?
Yes! Heathrow now requires all coach operators to pre-book a time slot at West Ramp Coach Park (can be done up to 12 months in advance or on the day if available).

✔️ Tip: Book a meet-and-greet service with us to relieve your group leader from additional admin and ensure a smooth transition from terminal to coach.

❓ 3. What If You Can’t See the Marshal?

✔️ Tip: Simply go inside to the terminal information desk and ask them to call park control — the marshals are usually nearby and will assist quickly.

📋 3 Important Checks & Tips Before Booking a Coach Transfer

❓ 1. Is the Company Fully Licensed & Insured?
You'll want an operator that's accountable to the law and up to date, adhering to national safety standards to ensure your journey will be a safe and sound experience.

✔️ Tip: Check the operator of interest has their Public Service Vehicle licence and that it's up to date!

❓ 2. What are their coaches like?
A universal standard for any coach interior should be clean, have air conditioning, working seatbelts, and luggage space, depending on your needs. Other great accessories you'll want to look out for include an on-board toilet, USB charging points, or accessibility functionalities.

✔️ Tips: Be sure to look at reviews and check the fleet of coaches available on the company's website, which should also come with images. Lastly, provide all your requirements upfront in your initial outreach when requesting a quote.

❓ 3. Will the Driver Meet You On Time — In the Right Place?

✔️ Tips: Ask for clear pick-up instructions that will give you confidence to meet the coach at the right location on time. You'll also want to take note of the out-of-hours line. Is it covered during standard working hours or is it 24/7? Things happen! Whether that's traffic or perhaps going to the wrong location, you'll want to know the coach operator is flexible and able to adapt to support your group's needs within the respected service.
