Huge well done to our Natalie Wells, who's just back from the Break The Ice Forum in Salzburger Land, Austria! 🇦🇹🏔️

Natalie spent three days at Hotel Gut Brandlhof in Saalfelden, meeting hotels, venues, convention bureaux and fellow event professionals from across Europe. She came home with a full notebook, lots of new contacts and some exciting leads for our clients.

A few highlights from her trip:

🤝 A packed morning of one-to-one meetings with suppliers from Austria and right across Europe
🏨 A site inspection of Gut Brandlhof, with 200 rooms, a 24-room congress centre, its own football pitch (Liverpool FC have trained there!) and a race track next door for automotive events
🧗‍♀️ Conquering the high ropes challenge, well out of her comfort zone!
🎶 A traditional Austrian evening of live music, great food and even a spot of yodelling

Austria is a fantastic destination for conferences, incentives and teambuilding, with stunning scenery, brilliant venues and easy access from the UK.

Group travel is not just booking the same flight for lots of people.

Anyone who has managed group travel knows this.

Someone wants to travel the day before.

Someone needs to come back early.

Someone’s passport name doesn’t match the name you’ve been given.

Someone misses the connection.

The airline changes the schedule.

And someone will inevitably ask a question that’s already been answered three times. 😄

Then multiply that by 50, 200 or 800 travellers.

Group travel is logistics.

It’s manifests, deadlines, payments, baggage, transfers, rooming lists, changes, cancellations and contingency planning.

But most importantly, it’s having someone there when something goes wrong.

Because getting everyone there is only part of the job.

Getting everyone there smoothly is the goal.

I've worked on the Olympics, the Commonwealth Games, a World Cup, the Euros and Formula 1. The thing I'm proudest of is a company most people still can't pronounce.

Hi, I'm Cat, founder of Eventuelle. (It's "even-two-elle", and yes, I picked it on purpose.) not only does it have Elle in the name (after my daughter - and I do it all for her) but it also means ‘possibilities’ in french.

For 18 years I've planned events and moved groups of people around the world. London 2012, Brazil 2014, Birmingham 2022, Paris 2024, plus a lot of corporate conferences and group incentives in between that nobody wrote headlines about but mattered just as much to the people in the room.

Then Covid happened, the events industry stopped, and I was made redundant. I bought a coffee van and parked it on a canal in Manchester. That business is still going, and it taught me more about serving people well than any job title did.

Eventuelle came in 2023, after my daughter arrived and I knew exactly what I wanted to build. A corporate travel and events company that works as part of your team rather than a supplier you have to manage. One place for the venue, the flights, the hotels, the dinners, the awkward last-minute changes. You brief us once and we handle the rest.

That's it. No agency jargon, no "end-to-end solutions". Just someone who has done this at the biggest scale there is and now does it for companies who want it done properly.

“We just need 100 hotel rooms.”

One of those sentences that sounds incredibly simple…

Until you actually have to book them. 😅

Because group accommodation isn’t just finding a hotel with enough bedrooms.

It’s finding 100 rooms available on the same dates.

At the right rate.

In the right location.

With contract terms that don’t leave you exposed if numbers change.

Then come the rooming lists.

Who’s arriving early?

Who’s staying an extra night?

Who needs a twin rather than a double?

Who has dropped out?

Who has changed their name?

Who’s paying their own extras?

Has everyone got breakfast?

And why has someone just emailed three days before arrival asking if they can bring their partner? 😆

Then there’s attrition, cancellation terms, deposits, release dates, complimentary rooms, upgrades, transfers and the master bill.

And suddenly…

“We just need 100 hotel rooms” becomes quite a big job.

Group accommodation is one of those areas where good management happens quietly in the background.

When it’s done well, the delegates probably never even notice.

They arrive.

Their room is ready.

Their name is on the list.

They know where they’re going.

And everything just works.

That’s exactly how it should feel.

☀️ Why is natural daylight so important when choosing an event space?

When we’re sourcing venues for conferences and meetings, one of the things we’re always looking for is natural daylight.

Because spending eight hours in a windowless conference room under artificial lighting can feel like a very long day. 😴

Natural daylight can make a real difference to how a space — and an event — feels. It can help with:

☀️ Energy and alertness – particularly during full-day conferences
🧠 Focus and concentration – important when you’re asking delegates to absorb a lot of information
😊 Mood and wellbeing – bright, airy spaces simply feel better to spend time in
🌿 Connection to the outside – especially valuable when delegates are indoors for most of the day
✨ The overall event experience – good light can completely transform the atmosphere of a room

Of course, natural daylight isn’t possible for every event — exhibitions, productions and certain AV-heavy events can actually benefit from controlled lighting.

But for a conference, meeting, workshop or away day?
