The ‘ber’ months are here… 🍂✨

September, October, November, December — traditionally some of the busiest months in the events calendar.

And while plenty of Q4 events have been in the diary for months, we know that’s not always how business works. Sometimes you get the green light late. Budgets are approved. A team suddenly needs bringing together. Or someone says, “Can we organise something before Christmas?” 🎄

The answer is yes — and Eventuelle can help.

Our free venue-finding service takes the time-consuming search off your desk. From conferences and meetings to team celebrations, away days, dinners and Christmas parties, we can source venues, check availability, negotiate rates and help pull everything together — even when the timescales are tight.

And if you need more than a venue? We can also support with accommodation, group travel, production, entertainment and full event management.

So if a last-minute Q4 event has just landed in your inbox, send it our way.

Tell us where, when, how many people and what you’re looking for — and we’ll get searching.

Normally, the summer months give us breathing room. A chance to reset before the autumn push, catch up on the projects that get pushed aside when things are moving fast.

This year, that pause never really came. We’ve been on the road delivering some brilliant events instead — each one different, each one testing a different part of what we do well.

There’s something we love about that variety. A trip in Venice asks something completely different of you than one in Copenhagen. Different logistics, different rhythms, different ways of thinking about what will make the days feel effortless for the people on the ground.

It’s meant a busier summer than usual, but a good one. And now, with those events behind us, we’re heading straight into Q4 — with some exciting proposals in the pipeline and the last events of the year still to deliver.

No reset this time. Just momentum, carried straight through.

If you are looking for last minute support for Q4 or looking ahead to 2027 then get in touch.

Catering can make or break an event, yet it’s often left until later than it should be. Here are five things worth thinking about early.

1. Dietary requirements, properly handled
Not just noted, but planned for properly — allergies, intolerances, cultural and religious requirements. Guests notice when it’s an afterthought versus genuinely considered.

2. Timing around the agenda
Catering should work with the flow of the day, not against it. A heavy lunch before an afternoon of sessions rarely lands well; timing matters as much as the menu itself.

3. Format matches the mood
Plated dinners, bowl food, grazing tables — the format shapes the energy of the room. A formal awards dinner and a relaxed networking evening need very different approaches.

4. Local and seasonal where possible
Menus that reflect the destination add something a generic catering brief never will. It’s also often fresher, better value, and more memorable for guests.

5. Contingency for numbers and delays
Flights get delayed, numbers shift last minute. Confirm how flexible the caterer can be if timings move or final numbers change close to the day.

Good catering isn’t just about the food. It’s about how well it fits everything else happening around it.

We loved this swing band that played at our drinks reception last week - they were incredible. But what makes entertainment actually work at an event?

It’s tempting to think of entertainment as one moment — the band at the gala dinner, the act after the awards. But the events that people remember treat it as a thread that runs through the whole day, not just a single booking.

Think about the arrival. Is there anything live to walk into, or does the energy only start once people are seated? Think about the gaps too — the transfer between venues, the gap before dinner, the walk to departure. Those moments shape how the whole day feels, even though nobody puts them on the agenda.

Does the entertainment suit the room, or was it chosen because it worked well somewhere else?

Does the energy match where guests are in the day — arriving, winding down, celebrating?

Is there a plan for the quieter transitions, not just the headline moments?

Does it reflect the audience, or a generic idea of “corporate fun”?

Here’s our top 5 tips for booking entertainment for events…

1. Match the mood to the moment
The right entertainment for a drinks reception is rarely the right entertainment for an awards dinner. Think about the energy you actually need at that point in the day, not just what looked impressive in a showreel.

2. Check the venue fit, not just the act
A brilliant performer in the wrong space falls flat. Ceiling height, acoustics, sightlines and stage space all matter as much as the talent itself.

3. Think about the whole day, not one slot
Entertainment shouldn’t be a single booking dropped into the agenda. Consider the arrival, the transitions, the quieter moments too — that’s where the day either holds together or loses momentum.

4. Know your audience
What lands well with one group can miss completely with another. Consider language, cultural context and the tone your guests will expect.

5. Build in contingency
Live elements carry risk — illness, travel delays, technical issues. Always ask what the backup plan is before the day, not on it.

Good entertainment doesn’t just fill a gap in the schedule. It shapes how people feel about the whole event.

1920s. A Château. A murder to solve 🕵🏻‍♀️

Our latest weekend went all in on the Agatha Christie theme, complete with Poirot, a cast of 9 weaving murder mystery scenes through the whole event, and Charleston classes to keep the energy up between clues 💃

This is what full immersion looks like. Huge thanks to Martin and the team for bringing it to life with us.

Last week we delivered an event in the South of France for a clients 50th Birthday - and wow - the photos are just unreal 📸 Finding the right photographers is so important to us when we organise an event. They are the ones who will tell the story and pick out all of the highlights for the guests to remember for years to come.

Thank you Linda Liv Eliasson | Malin Poppy Darcy Mörner for being absolute professionals throughout - we have loved working with you!

Destination Spotlight: Madrid

Easy to get to, genuinely impressive once you're there. Direct flights from most major UK and European cities, and a city centre compact enough that transfers between venue, hotel, and dinner rarely eat into the day.

Serious infrastructure for conferences and meetings, and an entirely different energy once the evening starts - rooftop terraces, tapas crawls through Salamanca or La Latina, and food and wine culture woven into the trip as standard.

A favourite of ours is The Palace Hotel - a Madrid landmark since 1912, recently restored, right in the heart of the city near the Prado and Retiro Park. It moves easily from executive meetings by day to dinner beneath its famous stained-glass dome by night.

A rare destination that works equally well for a large conference or a small leadership offsite.

Slow MICE isn't a typo - it's the new way event design is being approached.

For years, a "good" itinerary meant a full one. Every hour booked, back-to-back activities, value measured by how much got packed in.

But the best trips aren't the busiest ones. They're the ones with room to breathe; a slower morning, an evening with nothing scheduled, time to actually talk to the person next to you at dinner instead of rushing to the next thing.

It's not about doing less. It's about designing with more intention — fewer, better-chosen moments instead of maximum coverage.

Does your idea of a great trip mean every hour is accounted for, or does it leave room to breathe? 👇

Eventuelle started with a problem we kept seeing over and over.

Companies planning international events were juggling two separate worlds — a travel agent for the flights and hotels, and an events team for everything else. Two sets of contacts, two sets of invoices, two teams who'd never actually spoken to each other, trying to deliver one seamless trip.

We built Eventuelle to close that gap.

One team, handling travel and events together, from first enquiry through to the final night. Not a travel agency that also does events, or an events agency that also books flights — genuinely one point of contact for the whole thing, whether it's a UK conference for 40 or an international incentive trip for 200.

In practice, that means we work as an extension of your team, not a supplier you manage from a distance. It means free venue finding as standard, not an add-on. It means the person who sourced your venue is the same person who knows your budget, your timeline, and what went right (or wrong) last time, because they were there for all of it.

We built the agency we wished existed when we were the ones stuck between two suppliers who wouldn't talk to each other.

This month, one of the biggest events of our year comes together. 🤍

A private château weekend in the South of France, four days, bespoke itineraries for each one, handcrafted invites, a full performance programme, a gala night, a pool party, and a murder mystery running quietly throughout. Flights, transfers, venue, production, all moving at once.

This is the kind of event that looks effortless from the outside because of everything happening behind it.

Watch this space. 🕰️✨
