Job Title: HR and Admin Assistant
Overview:
We seek a competent and proactive HR and Administrative Assistant to join our team. This role is pivotal in supporting human resources and administrative functions within our organization. The ideal candidate will be organized, detail-oriented, and possess strong communication skills. The HR and Administrative Assistant will work closely with HR personnel and management to ensure smooth operations across various administrative tasks and HR processes.
Responsibilities:
1. Assist in recruitment by posting job openings, screening resumes, scheduling interviews, and conducting initial candidate screenings.
2. Coordinate employee onboarding and orientation activities, including preparing new hire paperwork and facilitating orientation sessions.
3. Maintain employee records and ensure all documentation is accurate and up to date, including personnel files, contracts, and HR databases.
4. Assist in administering employee benefits programs, including health insurance, retirement plans, and other employee perks.
5. Respond to employee HR inquiries regarding policies, procedures, and benefits, providing timely and accurate information or escalating to HR management when necessary.
6. Assist in organizing employee training sessions, workshops, and other developmental programs.
7. Support HR initiatives such as performance management, employee engagement surveys, and recognition programs.
8. Assist with payroll processing tasks, including timesheet verification, payroll data entry, and resolving payroll discrepancies.
9. Manage office supplies inventory, place orders when necessary, and maintain adequate stock levels.
10. Provide administrative support to the HR team and other departments, including scheduling meetings, preparing documents, and handling correspondence.
11. Assist in organizing company events, meetings, and conferences.
12. Ensure compliance with company policies and procedures and relevant employment laws and regulations.
Qualifications:
- A bachelor’s degree in human resources, business administration, or a related field is preferred.
- Prior experience in HR administration or administrative support role is advantageous.
- Strong organizational skills with the ability to multitask and prioritize workload effectively.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and HR software systems.
- Attention to detail and high accuracy in data entry and record keeping.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility and adaptability to work in a dynamic and fast-paced environment.
- Strong team player with a positive attitude and willingness to learn.
