Cost per attendee is the number every CFO asks for, and the number that hides most of the risk.

Two proposals can show the same cost per attendee and be completely different events. Here is what the number does not show:

1. What is inside and what is extra
Transfers, meals, room upgrades, activities and AV can each be in or out of the per-head price. Two vendors quoting the same number are often quoting different scopes.

2. The cost of a bad room block
A cheap rate with a bad location or a tight cancellation window can cost more in transfers and changes than the savings it created.

3. What happens when numbers move
Headcount changes after signature. The real price of an event is the price at final count, not at first proposal.

Start with scope and constraints. Cost per attendee is the output, not the input.
