For a school group tour to Sikkim & Darjeeling, especially when handling a large number of students, I would keep these 5 things as top priorities:
1. π¨βπ« Student Safety & Supervision β TOP PRIORITY
Maintain a proper student-to-teacher ratio and assign students into small groups.
Keep an updated student list with emergency contacts, allergies and important medical information.
Use headcounts before leaving every hotel, sightseeing point, restaurant and vehicle.
Students should never be allowed to wander alone.
Have one responsible coordinator/teacher at the front and one at the back during movements.
2. π Transport & Driver Management
Use reliable, properly permitted vehicles with experienced hill-route drivers.
Avoid overloading and ensure every student has a proper seat.
Check vehicle condition before starting the tour.
Keep sufficient buffer time because Sikkim/Darjeeling roads can cause delays due to traffic, landslides or weather.
Avoid unnecessary night driving on difficult mountain routes.
3. π¨ Hotel, Food & Student Accommodation
Confirm hotels well in advance, particularly for large school groups.
Keep teachers/staff rooms strategically located near student rooms.
Ideally maintain separate accommodation arrangements for boys and girls, with appropriate adult supervision.
Confirm meal timings, hygiene, drinking water and vegetarian/non-vegetarian requirements beforehand.
Keep an emergency food option available in case sightseeing causes delays.
4. ποΈ Permits, Weather & Altitude Planning
For Sikkim, this is particularly important.
Confirm all required permits/pass requirements well before the journey, especially for places such as Tsomgo Lake, Nathula Pass, Baba Mandir and North Sikkim.
Don't promise restricted destinations until permissions are confirmed.
Prepare for cold, rain, fog and sudden weather changes.
Give students time to acclimatize and avoid unnecessarily hectic schedules.
Carry basic first-aid supplies and have a clear plan for handling students who feel unwell.
5. π Strong Tour Coordination & Emergency Plan
Before departure, prepare a School Group Tour File containing:
Student master list
Teacher/staff list
Parent emergency contacts
Hotel contact numbers
Driver/vehicle details
Daily itinerary
Permit details
Emergency hospital contacts
Insurance details, if applicable
Tour coordinator's contact number
Most importantly: have a clear communication system between the school teachers + Kasstrip tour coordinator + drivers + hotels.
For school groups, don't treat the tour like a normal family package. Create a "School Group SOP" with three layers:
*SAFETY β SUPERVISION β SERVICE*
