โขFacilitate internal communication by coordinating the flow of information, distributing emails, and keeping employees informed of office updates.
โขMaintain and update contact lists, directories, and organizational charts.
โขMaintain office calendars, schedule appointments, and coordinate meetings, conferences, and travel arrangements for staff.
โขCoordinate travel visit agendas for visitors, including scheduling meetings, coordinating logistics, and ensuring a seamless experience.
โขCoordinate office events, including staff meetings, training sessions, and social gatherings, assisting with logistics, catering, and setup.
โขManage office supplies, equipment, and inventory levels, ensuring timely replenishment as needed.
โขMaintain accurate records, filing systems, and databases, ensuring organized and easily accessible information.
โขManage the cash box and keep accurate records of office expenses.
โขAssist with IT-related tasks, including workstation setup, troubleshooting basic technical issues, and coordinating with IT support providers.
โขOversee office cleanliness, organization, and appearance, by coordinating with cleaning staff as needed.
โขManage office maintenance by coordinating with service providers, overseeing maintenance agreements, and reporting necessary repairs.
โขSupport HR functions such as new hire onboarding, work permits, employee orientation, and maintaining employee records.
โขHandle confidential and sensitive information with discretion, adhering to privacy regulations and company policies.
โขSupport internal departments with administrative duties when necessary.
โขContribute to a positive office culture by participating in the companyโs social committee.
โขPerform additional duties as required by the company.

โขProven 2 years experience in an office administration role.
โขMinimum A Level standard of education.
โขProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
โขStrong communication skills in both English and Maltese, with the ability to interact professionally with employees, visitors, and service providers.
โขStrong leadership skills with the ability to take initiative, make quick decisions, and handle situations effectively.
โขExcellent organizational and time management skills, with the ability to prioritize tasks and multitask in a fast-paced environment.
โขStrong communication skills in both English and Maltese, with the ability to interact professionally with employees, visitors, and service providers.
โขKeen attention to detail and accuracy in administrative tasks, record-keeping, and documentation management.
โขAbility to work independently with minimal supervision, while also collaborating effectively as part of a team.
โขHigh level of professionalism, integrity, and discretion in handling confidential information.
โขSolid understanding of office management principles, procedures, and best practices.
โขBasic knowledge of accounting principles and office finance procedures would be considered an asset.
