"Our PMS has accounting" and "our PMS does trust accounting" are not the same sentence.

Most systems can track a booking and spit out an owner statement. Far fewer can support the fiduciary responsibility a property manager is legally required to uphold with money that isn't theirs.

Trust accounting means owner funds stay separate from operating funds at every moment, not just at month-end. It means three-way reconciliation between your bank balance, your book balance, and your individual owner ledgers. It means when a state auditor or an owner's CPA asks where a specific dollar sat on a specific day, you can answer in minutes instead of rebuilding it in a spreadsheet.

If you have to hire additional bookkeeping and accounting resources, or your team is exporting to Excel to close the month, you don't have trust accounting. You have a reporting tool and a lot of manual risk. Add this extra time and expense to your PMS cost.

The questions to ask any vendor:
▪️Do you maintain a separate owner trust ledger, or just tag transactions?
▪️Can you produce a three-way reconciliation without an export?
▪️How are escrow and security deposits handled?
▪️What happens at year-end for 1099s and owner tax reporting?
▪️Can I see a live reconciliation in the demo—not a slide about one?

That last one matters most. Ask to see it run on real data. The answer tells you everything.

Don't let your PMS decide who processes your money.

A property manager told us recently that when they switched systems, they were moved onto their new vendor's in-house payment processor. Not offered. Moved.

They had a processor they liked. Rates they'd negotiated. A support rep who knew their business by name. All of it gone—because payments were bundled into the software contract.

Here's the thing about mandatory payment processing: it isn't a feature. It's a second revenue stream for your vendor, and you're the source of it.

Three questions worth asking before you sign anything:
1️⃣ Is payment processing optional, or required? If the answer is "required," ask why.
2️⃣ What happens to my rates at renewal? Bundled processing means your leverage is gone.
3️⃣ Can I keep my current processor? If you've built a relationship that works, that has real value.
